The Ohm by academic staff members is part of the International Cooperative of Plastic Optical Fibers (ICPOF). Within this Cooperative the Ohm will organize and be responsible for the execution of the POF 2026 Conference in Nuremberg.

The Ohm takes data protection seriously. All of its data collection is carried out in accordance with the statutory regulations. Further detailed information about these can be found at www.datenschutz.de.

The following shall apply in principle:

Privacy Policy of ClearBookings Limited, Galway, Ireland as stated on the conference website, which acts as a processor for registration platform services.

Privacy Policy of the Local Organizer (Ohm) for the Conference POF2026:

Purposes of Data Processing:

  • Organization, planning, and execution of the respective event or offering
  • Communication in connection with your registration or participation
  • Where applicable, processing for public relations purposes (e.g., photo and video recordings), if intended
  • Creation of participant lists and, where applicable, their evaluation

Additional processing purposes may arise from the specific content, offerings, and the context of the respective online form. 

 

Legal Basis for Data Processing

The processing of your personal data is carried out—depending on the purpose of the processing—on different legal bases. Insofar as the processing is required for the performance of pre-contractual measures or for the organization and implementation of the event or the respective offering, it is based on Article 6(1)(b) GDPR. If the processing is carried out for the performance of public tasks assigned to the university, the legal basis is Article 6(1)(e) GDPR in conjunction with Article 4 BayDSG and Article 2 BayHIG.

Where you have given us consent to process your personal data for specific purposes, the processing is based on Article 6(1)(a) GDPR in conjunction with Article 7 GDPR. This applies in particular to processing activities carried out for public relations purposes, such as the creation and publication of photo and video recordings. If special categories of personal data within the meaning of Article 9(1) GDPR are processed in this context, this is done on the basis of your explicit consent pursuant to Article 9(2)(a) GDPR.

Recipients or Categories of Recipients of Personal Data

Your personal data are processed within the university by those units responsible for handling your registration and for organizing and implementing the event or the respective offering. When using the online form, the data you enter are processed by the system and transmitted to the respective responsible units within the university for further handling. Where necessary for the implementation of the event or offering, your personal data may also be transferred to external recipients. These include, in particular, service providers or cooperation partners tasked with organizing or carrying out the event.

The specific recipient for the handling of the registration data as a processor for registration platform services of the POF2026 conference is ClearBookings Limited, Galway, Ireland.

Transfer of Personal Data to a Third Country or an International Organisation

As a rule, your personal data will not be transferred to a third country (outside the European Union or the European Economic Area). However, when photo and/or video recordings are published on the internet (e.g., on the controller’s website or social media channels), it cannot be ruled out that data may be transferred to countries outside the European Union (“third countries”).

During registering, you can optionally consent to your contact details (name, mail address) being shared with the respective members of ICPOF for the purpose of being contacted and receiving information about future events or newsletters related to ICPOF and the POF conference series

Data Retention Periods and Criteria for Determining Retention Periods

The majority of your personal data will be stored by the Ohm only for as long as is necessary for the implementation of the respective event or the processing of your request. Once the purpose of processing ceases to apply, the data will be deleted unless statutory retention obligations prevent this.

Photo and/or video recordings will be stored only for as long as is necessary for the purposes stated above. If processing is based on consent pursuant to Article 6(1)(a) GDPR, the recordings will be deleted in the event that consent is withdrawn and—where technically possible—removed from the respective publication platforms (e.g., website or social media channels).

Information on Data Subject Rights

Under the General Data Protection Regulation, you have the following rights:

Right of access (Art. 15 GDPR):If your personal data are processed, you have the right to obtain information about the data stored concerning you.

Right to rectification (Art. 16 GDPR):If incorrect personal data are processed, you have the right to request rectification.

Right to erasure, restriction of processing, and objection (Art. 17, 18, and 21 GDPR):If the legal requirements are met, you may request the deletion or restriction of processing and may object to the processing of your data.

Right to data portability (Art. 20 GDPR):If you have consented to the processing or if a contract exists and the processing is carried out by automated means, you may have the right to receive the personal data you provided in a structured, commonly used, and machine-readable format.

Right to withdraw consent (Art. 7(3) GDPR):If data processing is based on your consent given to the controller identified above, you may withdraw your consent at any time with effect for the future. The lawfulness of processing carried out on the basis of your consent before its withdrawal remains unaffected.

When you exercise any of the rights listed above, the Ohm will examine whether the statutory requirements for doing so are fulfilled.

Obligation to Provide Data

If the processing of your personal data is based on consent, the provision of your data is voluntary.
Where processing is based on another legal basis, the provision of personal data is required for registration, the implementation of the event, or the processing of your request. Without this information, participation, use of the offering, or the processing of your request is not possible or only possible to a limited extent.

 

Right of Withdrawal for Consent

You have the right to withdraw your consent regarding the processing of your personal data in connection to the POF2026 conference at any time without providing reasons. The withdrawal does not affect the lawfulness of processing that occurred based on your consent before its withdrawal (Art. 7(3) GDPR).

Special Notes on the Publication of Photographs on the Internet

The use of personal data and images—such as photographs or video recordings—through publication on the controller’s website generally requires the data subject’s consent pursuant to Section 22 of the German Art Copyright Act (Kunsturhebergesetz – KUG). If you agree to such use, you may declare your consent accordingly.

By publishing images on the controller’s website, it becomes possible for individuals worldwide to access and retrieve these images and the associated data, including from countries that do not have an adequate level of data protection. The controller is therefore unable to influence access to or further use of these data via the internet and cannot assume responsibility for compliance with data protection requirements by third parties.

Using appropriate search engines, personal data on the internet may be found, and individuals depicted in images may potentially be identified. This means that personal profiles may be generated by combining this data with other information available online, creating additional potential uses—for example, for advertising purposes.

Due to the possibility of worldwide retrieval and storage of data by third parties, it cannot be ruled out that, even if you withdraw your consent and we delete your data and images from our website, the material may continue to be used by other parties or remain accessible through search engine archive functions.
